Privacy Policy

1. Overview

This Privacy Policy explains how Realtevo AI (operated by Surroundings Enterprise LLC, with operational governance conducted through Realtevo Investments LLC — together, "Realtevo AI," "we," "us," or "our") collects, uses, stores, and protects information when you use the Realtevo AI Command Center (the "Platform"). It applies to every visitor and account holder, including anyone who connects a Google account to the Platform.

2. Information We Collect

We collect information you provide directly, including:

  • Account and contact information (name, email address, phone number)
  • Business information (company name, industry, size)
  • Usage data and product analytics
  • Payment and billing information
  • Support and account communications
  • SMS and WhatsApp consent records, including the consent value and timestamp when you choose to opt in
  • Data from third-party accounts you choose to connect, such as Google (see Section 3)

3. Google User Data

When you choose to connect a Google account, Realtevo AI requests only the permissions needed for the Google services you choose. We never access Google data from an account unless you affirmatively connect that service.

Gmail

Access: Read messages, create and manage drafts, send messages

Only when you connect Gmail: to show relevant emails inside your workspace, to save messages you ask an agent to prepare as drafts in your account for your review, to send messages you explicitly ask an agent to send on your behalf, and to organize threads with labels you create. We never read, draft, or send email unless a feature you triggered requires it.

Google Drive

Access: Read files, manage files the app created, organize existing files and folders

Only when you connect Drive: to save reports and exports the platform generates for you, to open files you point the app at, and to move or organize files and folders at your explicit request.

Google Calendar

Access: Read events, create and manage events

Only when you connect Calendar: to check availability and create, update, or cancel events (such as booked appointments) that you or your configured agent schedule.

Google Sheets

Access: Read spreadsheets, create and edit spreadsheets

Only when you connect Sheets: to read data you point the app at and to write reports, exports, or synced records back into a spreadsheet at your request.

Google Docs

Access: Create and edit documents

Only when you connect Docs: to generate and update documents (such as generated reports or content drafts) that you ask the platform to produce.

Google user data is handled in accordance with the Google API Services User Data Policy, including the Limited Use requirements.

4. How We Use Information

We use information to:

  • Provide, maintain, and improve the Platform and its features
  • Process transactions and manage subscriptions
  • Communicate with you about your account and service updates
  • Respond to support requests
  • Protect against fraud, unauthorized access, and abuse
  • Comply with legal obligations
  • Provide the Google integration feature you specifically request

5. Data Retention and Deletion

We retain personal information only as long as necessary to provide the Platform and comply with legal obligations. When you disconnect a Google integration, its stored access tokens are revoked and deleted. You may request deletion of your account and associated data by contacting us at privacy@realtevoai.com.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect your information. Google access and refresh tokens are encrypted at rest. Access is restricted to the services and personnel necessary to operate the Platform.

Google API Services User Data Policy — Limited Use Disclosure

Realtevo AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • Google user data is used only to provide or improve the specific, user-facing feature you requested (for example, drafting an email you asked the platform to send, or saving a report you asked it to export to Sheets).
  • We do not sell Google user data to any third party.
  • We do not use Google user data for serving advertisements, including retargeting or personalized/interest-based advertising.
  • We do not allow humans to read Google user data except with your affirmative consent, for security purposes, to comply with applicable law, or where data is aggregated and anonymized.
  • We do not transfer Google user data to third parties except as necessary to provide or improve these features, comply with applicable law, or as part of a merger, acquisition, or sale of assets.

7. Data Sharing

We do not sell your personal information. We may share information with:

  • Service providers who assist in operating the Platform, under confidentiality obligations
  • Law enforcement, when required by law
  • Affiliated entities, including Realtevo Investments LLC, for operational purposes
  • A successor entity, in connection with a merger, acquisition, or sale of assets

SMS / Mobile Information

If you opt in on a Realtevo AI form, Realtevo AI may send SMS and WhatsApp messages about your request, scheduling links, and appointment reminders. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

8. Your Rights

You have the right to:

  • Access, correct, or delete your personal information
  • Disconnect any Google (or other third-party) integration at any time
  • Opt out of marketing communications
  • Request a copy of your data (data portability)
  • Lodge a complaint with a relevant supervisory authority

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. For material changes, we will provide notice through the Platform or by email where appropriate.
